Penni Tech LLC ("we", "us", "our") operates the website penni-tech.com, the SAM Dashboard platform at sam.penni-tech.com, and related services including AI Solutions consulting and TradeVision AI (collectively, the "Services"). This Privacy Policy describes how we collect, use, store, and protect your information when you use our Services.
Summary: We collect only what we need to provide our services. We don't sell your data. We don't show you ads. Your business data stays yours.
1. Information We Collect
Information you provide directly
- Account information: When you sign up for SAM Dashboard, we collect your name, email address, business name, and password (stored as a one-way hash — we never store your actual password).
- Access request forms: When you request access through our website, we collect your first name, last name, email, company name, state, and ZIP code.
- Contact forms: When you submit a consultation request or partnership inquiry, we collect your name, email, organization, and message.
- Onboarding information: During SAM Dashboard setup, we collect business details such as address, phone number, website, business type, team size, services offered, and service area.
Information collected through connected services
- Email (IMAP): If you connect your email account to SAM, we access your email inbox via IMAP to classify and display messages within the dashboard. We store email metadata (sender, subject, date, classification) and message content locally in your isolated tenant database. We do not share your email content with any third party except as described in "AI Processing" below.
- QuickBooks Online: If you connect your QuickBooks account, we access your customer, invoice, and bill data through Intuit's OAuth 2.0 API. We store a read-only copy of this data in your tenant database for display within SAM. We do not modify your QuickBooks data without your explicit action. You can disconnect QuickBooks at any time from the Integrations page.
Information collected automatically
- Usage data: We may log IP addresses, browser type, and access timestamps for security and troubleshooting purposes.
- Cookies: We use session cookies to keep you logged in. We do not use tracking cookies, advertising cookies, or analytics cookies.
2. How We Use Your Information
- To provide the Services: We use your data to operate SAM Dashboard, classify your emails, detect bills, display your business information, and sync with connected services like QuickBooks.
- AI processing: We use Anthropic's Claude API to classify emails, detect bill amounts, suggest service rates, and analyze business information during onboarding. When we send data to the AI for processing, we send only the minimum necessary content (e.g., email subject and sender for classification). Anthropic does not retain data sent through their API for model training. See Anthropic's privacy policy for details.
- To communicate with you: We use your email address to send account invitations, password setup links, and administrative notifications related to your account. We use Resend as our email delivery service.
- To process access requests: We review access request form submissions to evaluate and onboard new users.
- Address autocomplete: We use the Google Maps API to provide address autocomplete in the client, project, and onboarding forms. Google's terms apply to this feature. See Google's privacy policy.
3. How We Store and Protect Your Data
Data isolation
Each SAM Dashboard tenant operates in a fully isolated environment. Your data is stored in a dedicated database within a separate container. No other tenant can access your data.
Security measures
- Passwords are hashed using bcrypt (one-way — we cannot read your password)
- Sessions are managed with secure, server-side session tokens
- All traffic to sam.penni-tech.com is encrypted via HTTPS (TLS)
- Connected service tokens (QuickBooks, email) are stored encrypted in your isolated database
- Invite tokens are single-use and expire after 7 days
Data location
Your data is stored on infrastructure operated by Penni Tech LLC in the United States. We do not transfer your data outside the United States except as necessary to communicate with third-party APIs (Anthropic, Google Maps, Intuit, Resend) that may process data in various locations.
4. Third-Party Services
We integrate with the following third-party services to provide our platform. Each has its own privacy policy:
- Anthropic (Claude API): AI email classification, bill detection, business analysis. Privacy policy
- Intuit (QuickBooks Online API): Accounting data sync (customers, invoices, bills). Privacy policy
- Google (Maps JavaScript API, Places API): Address autocomplete. Privacy policy
- Resend: Transactional email delivery (invitations, notifications). Privacy policy
- Cloudflare: DNS management and traffic routing. Privacy policy
- Formspree: Contact form submissions on penni-tech.com. Privacy policy
We do not sell, rent, or share your personal information with any third party for marketing or advertising purposes.
5. Data Retention
- Active accounts: We retain your data for as long as your SAM account is active.
- Deleted accounts: When your account is deleted (by you or by the administrator), your isolated database and all associated data are permanently removed from our systems.
- Access requests: We retain access request submissions for up to 12 months for record-keeping, then delete them.
- Contact form submissions: Form submissions via Formspree are retained according to Formspree's data retention policy.
6. Your Rights
You have the right to:
- Access your data: You can view all data stored in your SAM Dashboard at any time through the application.
- Disconnect services: You can disconnect QuickBooks or email integrations at any time from the Integrations page. Disconnecting stops data sync but does not delete previously synced data.
- Request deletion: You can request that we delete your account and all associated data by emailing info@penni-tech.com.
- Request a copy: You can request a copy of your data by emailing info@penni-tech.com.
7. Children's Privacy
Our Services are designed for business use and are not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have collected information from a minor, please contact us immediately at info@penni-tech.com.
8. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. For significant changes, we will notify active SAM Dashboard users via email. Continued use of our Services after changes are posted constitutes acceptance of the updated policy.
